Modern MSP Strategy: Eliminating Unnecessary Servers for SMBs

Reading Time: 3 minutes
👋 What We’re Seeing in the Field
Working in the MSP environment, I’ve encountered countless IT setups. Over the years, I’ve noticed a recurring pattern among small and mid-sized businesses (SMBs): many still rely on outdated on-premises Windows servers—even when they have as few as four client computers joined to a domain. Often, these servers function solely as domain controllers or basic file servers.
Unfortunately, these servers are frequently neglected. I’ve seen RAID arrays with degraded disks just one failure away from total data loss—without the customer even knowing. Dusty hardware, outdated firmware, and ignored security patches are common, leaving these businesses vulnerable to bugs, exploits, and performance issues.
💸 The Hidden Costs of Unnecessary Servers
There’s a troubling trend of MSPs deploying Windows servers for SMBs that don’t need them. In some cases, businesses with fewer than 10 workstations are running full ESXi or Hyper-V environments. The cost of enterprise-grade hardware, Windows licenses, and ongoing management is often overkill.
For these small businesses, every dollar counts. Spending $10–15K on a new server plus ongoing managed IT support contracts can drain resources that could be better spent elsewhere—like security, backups, or infrastructure improvements.
💡 A Smarter, Cost-Effective Design
Even in tough economic times, we have a responsibility to do what’s right—not just what’s profitable. Recently, we helped an SMB save thousands of dollars by replacing a failing server with a more efficient and modern setup:

🧩 Simplified Network Design
Using UniFi equipment, we delivered a feature-rich network with:
- Enterprise-grade VPN and intrusion prevention (IPS)
- No annual license fees
- Cloud management and mobile app support
- Optional integration with cameras and door access systems
This setup is widely used in budget-conscious environments like public schools and works perfectly for SMBs too.
📁 Reliable File and Directory Services with Synology
We deployed a Synology 8-bay NAS with SSDs in RAID 10, providing fast and redundant file sharing.
Key advantages:
- Synology Directory Server: Acts as a lightweight alternative to Windows Active Directory, including DNS and support for login scripts.
- Hyper Backup: Enables affordable cloud backups via Synology C2 Storage.
- QuickConnect: Allows easy remote access for user and share management.
While Synology Directory Server isn’t as feature-rich as Windows AD, it’s more than sufficient for most SMB use cases. For more information, check out the Synology Directory Server Administrator’s Guide.
✅ Conclusion
The streamlined design we implemented has been rock-solid. Our client saved thousands compared to a traditional Windows server deployment—without sacrificing functionality. And with the money saved, they were happy to invest in essentials like remote monitoring (RMM) and antivirus solutions.
This solution is easy to manage, document, and support—making both us and our clients happy. We even created a network diagram using free tools (linked here)—no need to pay for something so simple.
🌿 Final Thoughts
In today’s rapidly evolving IT landscape, simplicity, efficiency, and cost-effectiveness matter more than ever—especially for small businesses. By moving away from outdated, high-maintenance server setups and embracing modern, streamlined solutions like UniFi and Synology, MSPs can deliver real value without unnecessary expenses.
Ultimately, it’s not about cutting corners—it’s about smart design. When we prioritize the actual needs of our clients over upselling, we build trust, reduce support overhead, and create long-term partnerships that benefit everyone.
Let’s focus on what works, not what costs the most.
